As any pharmacist knows, October is among the busiest months. With cold and flu season ramping up, vaccines taking center stage, and HSA deadlines creeping around the corner, you might just feel like your schedule is bursting at the seams.

More business means more busyness, and when the pace picks up, even the most meticulous pharmacists might notice things falling through the cracks: from missed fills to mistyped billing codes to reverse claims that can really throw a wrench in the day.

Some of these mistakes may just be minor inconveniences, but others may be costly errors that disrupt time, productivity, and profit.

1. Third-Party Directory

You know the drill: As patient volume creeps up, so do the claims sent out to third-party payer plans—and one plan in particular, M3P, can be downright scary if you’re not careful.

When pharmacies submit claims in PioneerRx, they sometimes copy existing third parties in PioneerRx and apply them to other plans, like M3P, to speed up the process. Seems simple enough, right?

But in this case, copying an existing third party to M3P, even one that looks similar, can lead to rejected claims, override failures, and audit nightmares all around.

M3P (Medicare Part D Managed Medicaid Plans) is tricky because they share BIN numbers with commercial plans. But don’t be fooled: their PCNs, field requirements, and payer sheet expectations are completely different.

To avoid that mess, we recommend using the Third-Party Directory. It’s a validated resource designed to simplify third-party setup, especially for M3P plans.

Instead of copying and risking formatting errors, you can import third parties directly from the directory. Each entry includes up-to-date payer sheets and field configurations, refreshed annually to reflect changing requirements.

So, if you’re in the business of keeping your claims in order and avoiding overrides, this is one tool that you don’t want to skip out on.

2. Retail MSRP Pricing Default

It’s every clerk’s worst nightmare: a long line of customers, an OTC item scanned at the register… and zero. No price. No clue. Just a blank screen and a growing line.

In a typical situation, this would be a quick fix: Most OTC products come with a manufacturer-suggested retail price (MSRP), and PioneerRx pulls those from catalog records where supplier retail prices are listed.

But if that item isn’t cataloged and you don’t have a default MSRP rule in place, you risk ringing up items with no price attached. This means scrambling to find one, manually entering it, and slowing down your entire operation.

If the thought of this situation gives you the heebie-jeebies, try this: Use PioneerRx to set a default MSRP pricing rule for your store.

This rule acts as a fallback: if all other pricing rules fail, PioneerRx will apply the default MSRP so you can save, close, and move on. You can still enter individual MSRPs for retail items, and if you need to price something on the fly, you can type it in the box, scan, and go.

To check your item setup: Go to Retail Item > Pricing Tab > MSRP. As long as you’ve got a catch-all item pricing rule in place, you’re covered.

So whether it’s cough drops, cold meds, or candy bars, you can make sure your OTC items don’t leave your register hanging. Just set your default MSRP and keep the checkout line moving.

3. Overrides

Overrides can be a lifesaver—that is, if you know how to use them.

If you build them correctly, they can speed up your workflow and ensure claims go through without a hitch. But if they’re not, they can slow down reimbursements and leave you wondering why you’re not getting paid.

In PioneerRx, overrides can be applied at multiple levels: to a Third Party, to a Patient, or at actual Data Entry.

You can set them globally, but here’s the catch: if a payer doesn’t accept those overrides, they’ll get stripped out unless you manually reapply them. That’s why it’s important to know how specific or broad your overrides really are.

The more fields you populate when creating an override, the more narrowly it’s applied—and that’s the ideal application. Narrow overrides target specific claims and patients, which can reduce the risk of mistakes.

But when you start removing fields and applying overrides broadly, you open the door to weird rejects, incorrect payments, or no payments at all. One override might not seem like a big deal, but multiply that across hundreds of claims, and you’ve got a real problem.

To help techs, use the “No Vaccine Overrides Required” category, which removes overrides for specific claims when categories are set up correctly.

In practice, it’s a great way to make sure one exception doesn’t cancel out 1,500 valid overrides.

Bottom line: Overrides are a powerful tool, but with great power comes great responsibility. If you’re not sure how yours are set up, we recommend taking a closer look.

4. Rx Edits

Low-profit claims can sneak into your workflow like a ghost and drain your margins without warning. That’s why Rx Edits exist: to help you catch those transactions before they haunt your bottom line.

Rx Edits are post-edit alerts that flag claims after they’ve gone through. The three most helpful for handling profits are Low Profit, Cash Limited, and Base Limited. You can configure them to warn you when a claim falls below your profit threshold, which gives you time to pause, review, and decide whether to dispense.

Low Profit is the most common, warning you when a script won’t make you money. Base Limited helps you spot undercharging, especially if your pricing rules haven’t been updated in years. And Cash Limited flags transactions that don’t meet your cash pricing standards.

The best part is that you can choose which RxEdits matter most to you. If Obsolete NDC alerts aren’t helpful, turn them off. But if Low Profit is a priority, make sure it’s set to block. That way, PioneerRx can sort through the queue and highlight only what needs your attention.

5. Rx Templates

From October on, vaccines fly off shelves as quickly as they come in—and when things get busy, the last thing you want is to waste time re-entering the same information over and over again.

Our Rx Templates let you pre-load commonly used prescription details into a reusable format. Instead of typing out every field for every dose, you can create a template with all the standard info (patient name, DOB, address), then use a short code to auto-populate it.

For example, say you’re administering the first dose of a COVID-19 vaccine.
