As any pharmacist will tell you, running a pharmacy isn’t just about what happens at the counter—but also about what’s buzzing behind the scenes. To keep it all running smoothly, you need good systems in place.

And what better system to start with than your pharmacy software system?

PioneerRx is a gold mine for back-end operations: from correcting errors to tracking performance to running reports that drive higher ROI.

But you can’t use what you don’t know about.

So, here’s a look at some of the most useful (and often underused) back-end features in PioneerRx.

1. Sort, Filter, and Get the Info You Actually Need

One of the most powerful (and popular) features in PioneerRx is Reports—which, for the uninitiated, is a fully customizable feature allowing you to create reports unique to your needs.

Two reports highlighted in the Tips & Tricks session—and that you should know about—are the Custom Sort Report and Custom Filter Report.

When it comes to reporting, sometimes it’s less about the data you pull and more about how you organize it. That’s where these reports come in handy.

Time to get technical for a moment...

Let’s say you want to know which prescribers are sending in the most controls, or which drugs are being filled most frequently by schedule.

Instead of sifting through piles of raw data, you can use PioneerRx to easily generate a report that groups prescriptions by prescriber and sorts by the number of controls they’ve ordered.

In this case, the Custom Sort Report allows you to quickly identify high-volume prescribers, spot prescribing patterns, and uncover opportunities for targeted outreach or education.

To do it, just head to System > Report Design in PioneerRx. Copy an existing report (like the Drug Log) and group the results by prescriber, DEA classification, or any field that matters to you.

You might use this report to prep for provider visits by having clear data on their prescribing habits or to monitor the volume of prescriptions coming from specialty programs.

For even more precision, you can go to Reports > Custom Filter Report and combine multiple conditions using flexible AND/OR logic—like filtering for scripts in a certain inventory bin, written by a specific provider, and containing a C2 drug.

No matter what kind of information you want to pull, these reports help you get hyper-specific hyper-fast.

2. Check Will Call Before You Call It Quits

We’ve all been there before: You’re mid-fill and see “0” for balance on hand and equivalents—plus the patient is already at the counter, and they’re getting cranky. But don’t panic.

But before you break the news that they’ll have to come back tomorrow, try this first: Go to Rx > Edit Rx > Actions > Check Stock in Will Call.

This feature shows you if that same NDC—maybe even the exact script—is sitting in Will Call, waiting to be returned to stock.

Whether a patient never picked it up or it was filled by mistake, you might already have what you need... just not where you expected it.

Checking Will Call is a quick way to save your patient a second trip and save your team from scrambling on a rush order. Crisis averted.

3. Clean Up Mistakes in Workflow

Everybody makes mistakes (everybody has those days)—so when it happens, don’t let cleanup derail your day. Here are a few quick-win features to help you fix issues fast and keep workflow moving:

  • Claims > Reverse and Stay (shortcut: Ctrl + S) lets you reverse a claim without having to back out and reload the screen. Just click, reverse, and keep going.
  • Revert Rx Transaction Status is your go-to when a script is accidentally marked complete. With one click, push it back to “Waiting for Data Entry” or any other status.
    • Add an RxEdit to enforce this (ex: “Review Data Entry”) and require a comment on resolve so there’s always documentation.
  • Bonus tip: If you’re printing from the Print Queue, enable a safety net by requiring a confirmation code when printing over a certain number of records (“Require Confirmation Code if Printing Over X Records”).

With just a few clicks, these features can help you fix mistakes quickly without pulling your team in ten different directions. That’s what we call a win.

4. Manage e-Vouchers with Ease

Manufacturer-sponsored e-vouchers are a great tool to help patients save on medications while protecting your pharmacy’s reimbursement.

Historically, tracking these vouchers and understanding their impact on claims has been tricky...until now.

One of the newest additions to PioneerRx—and a big win for your bottom line—is the e-Voucher Icon, which adds a whole new layer of clarity to claims.

Now, when an e-voucher is applied, you’ll see it clearly flagged in Workflow with a green circle icon containing a dollar sign and a question mark.

You can hover over the icon to get more insight into what was applied and when without having to dig into claim strings.

Voucher details also show up in Rx Transaction Search, complete with messages and claim activity for easy tracking.

Unlike coupons or discount cards that can cut into your reimbursement, manufacturer vouchers actually help your patients and your profits.

Want to dig even deeper? Head over to Analysis > Financial Reports, where you’ll now find a dynamic “E-Voucher Paid” field. Use it to build customized reports with real numbers tied to your voucher claims and make tracking even easier.

5. Track Trends and Spot Opportunities

Last but not least for our back-end tricks: If you want to truly understand what’s happening in your pharmacy, Active Analysis is your new best friend.

This report lets you track:

  • Hourly prescription completions to identify your busiest times of day
  • Employee performance by hour or day to spot top performers or areas that need adjustment
  • Vaccine administration rates to evaluate outreach efforts
  • Medication categories or drug schedules filled to spot trends in patient needs or inventory demands
  • Claim rejection patterns to target common issues and improve reimbursement rates

By combining these data points, you can easily find out what your pharmacy’s doing well and what you can improve—all without exporting data or using external tools.

That’s the power of a great software system.
